The service
ReplyAIme provides a managed AI front desk for WhatsApp and Instagram, including message automation, appointment booking, reminders, payment links, review requests and a daily summary, configured per client.
Fees and billing
A one-time setup fee is paid before setup starts. The monthly fee is billed in advance each month and covers hosting, maintenance and support for that month. Founding-clinic prices are fixed for the first 12 months from go-live, as stated in your agreement.
Cancellation and refund
You can cancel at any time; the service runs to the end of the month already paid. If you cancel within 30 days of go-live, we refund your first monthly fee. The setup fee covers work already done and isn't refunded.
60-second reply guarantee
If the average time between a patient's message reaching your number and our first reply is more than 60 seconds in a calendar month, that month's fee is waived. It's measured from our message logs, which you see in your daily summary. It doesn't cover outages of WhatsApp, Instagram or Meta's platform, periods when you've paused the service, or messages that arrive while your WhatsApp account is restricted.
Your responsibilities
- Provide accurate business information (hours, prices, policies) for the AI receptionist to use.
- Hold the necessary business license/commercial registration to operate and sell to customers in your country.
- Obtain any patient opt-ins required under WhatsApp Business Platform policy for messages sent outside the 24-hour customer service window.
Our responsibilities
The AI receptionist will only answer from the business data you provide and will not invent prices, hours, or policies. It will hand off to your team when a patient is upset, explicitly asks for a person, or asks something outside your provided data. For clinics it never diagnoses or suggests medicine, and it directs emergencies to your emergency number.
Limitation of liability
ReplyAIme is provided on an "as-is" basis during the early-access period. We are not liable for indirect or consequential damages arising from use of the service, to the maximum extent permitted by applicable law.
