ReplyAIPrivacy Policy
Draft — last updated 2026-09-25. This is a starting policy for a pre-launch business; have it reviewed against the data-protection rules of each country ReplyAIme operates in (Kuwait, Saudi PDPL, UAE PDPL, etc.) before onboarding real clients.
What we collect
When you request a free audit, we collect what you type into the form: your clinic's name, your name, your WhatsApp number, the number of dental chairs and your Instagram handle (if you give them). We also record the page you sent it from and, if you arrived from an ad or a tagged link, which campaign it was.
When you use the live demo chat, the messages you type are sent to our AI to generate the replies. Please don't type real medical or personal information into the demo.
If you become a client, we also process your clinic's configuration (hours, services, prices, policies) and your patients' messages, names and phone numbers, only as needed to run the service for you.
How we use it
- To run your free audit and contact you about it on WhatsApp.
- To set up and run the ReplyAIme service for your clinic, if you become a client.
- To contact you about your account, billing and support.
- To measure which of our ads bring clinics to us (see below).
Cookies and ad measurement
This site uses the Meta Pixel, which sets cookies so we can see which of our Facebook and Instagram ads lead to visits and audit requests. When you request an audit, we also send Meta a record of that request through Meta's Conversions API, with your WhatsApp number and first name converted into a one-way code (hashed) first, so Meta can match it to an ad without receiving the number itself.
You can say no to this in the cookie notice. If you do, the pixel stops and we don't send the audit request to Meta. Visitors in Europe are asked before anything is set. The site also remembers your language, currency and demo chat session in your browser's local storage; those never leave your device except the demo session ID, which keeps the demo conversation together.
How we store it
Each client's business data and patient data is stored separately and is never shared with or exposed to another client. Audit requests are kept in our own records and deleted on request.
Third parties
We use Meta (WhatsApp Cloud API, Instagram Graph API, Meta Pixel and Conversions API), Anthropic's Claude API to generate replies, n8n to run our automations, Airtable to store records and Calendly to book audit walkthrough calls (if you pick a time, Calendly receives the name and email you enter there). We do not sell your data or your patients' data.

You can ask us to show, correct or delete what we hold about you at any time.
